How Once Upon a Weekend uses traveler, booking, payment, and communication information.
Information we collect
We collect the details needed to operate a retreat: name, date of birth, verified email, address, phone, WhatsApp number, emergency contact, room choice, questionnaire responses, accessibility and dietary information, and air or car travel plans. Staff roles and administrative actions are also recorded for security and accountability.
How we use it
Information is used to confirm eligibility, manage room inventory and bookings, collect payment, coordinate lodging and transportation, prepare for dietary or accessibility needs, communicate retreat updates, check guests in, and provide support. We do not use sensitive traveler details for unrelated advertising.
Payments and service providers
Card details are entered directly with Stripe and are not stored by Once Upon a Weekend. The website stores payment status and limited Stripe identifiers so authorized staff can reconcile charges, payment plans, failures, and permitted refunds. Email identity, transactional email, hosting, and AI providers process only the data needed for their function once those connections are activated.
SMS and WhatsApp groups
Retreat group messaging is optional. If a guest consents, the retreat team may invite them to an externally managed SMS or WhatsApp group. Other participants may be able to see the guest’s name and number. A guest can leave the group and can withdraw future messaging consent.
Access and choices
Guests can review or correct their reusable traveler profile through the email-code portal. Owner, Manager, and Check-in roles receive different levels of access. Check-in staff receive only the information needed for arrivals. Guests may request correction or deletion when legal, accounting, and safety retention duties permit it.
